Benefits of a paperless office
Today it is easy to become a paperless office. Even if you don’t retroactively take the time to scan and save old records, you can begin today with cloud-based systems that are secure and easy to use. With the passage of time, those old records will become less relevant, and your current system will be modern, secure, and accessible.
Here are some of the reasons that I am an advocate for a paperless office.
Paper takes up space. Over time, it takes up a lot of space.
Paper is time-consuming and costly
To locate a document or set of files manually, there is a time factor to searching through file cabinets, hoping that what you are looking for was filed correctly. There is also the time of the person doing the filing, printing, photocopying, recycling, and mailing. There is the cost of the printer, printer ink and the paper itself.
Paper is environmentally unfriendly
Using less paper means fewer trees are cut down, less chemicals and water are used in paper production, less paper ends up in our landfills
Digital Access
A paperless system allows you to store documents online in a cloud-based digital system with password protection. These items are easily searchable.
Remote Work
With cloud-based storage, you can log in to your documents from virtually any devise at any time of the day or night, making remote work possible. Being paperless encourages the use of collaboration tools such as project management and staff communication tools.
